7 Key Steps for Improving your EHS Information Management Business Case

Abstract

In today’s dynamic business environment, corporate governance and the need for greater confidence in internal control processes, is leading to a situation where corporate Environment, Health and Safety (EHS) teams are facing a paradox; they are being asked to achieve ever-increasing compliance standards and improved performance reporting, with greater information demands, against a backdrop of stretched internal business processes, leaner support structures and increased competition for internal budget.

The “EHS resource stretch” is raising the profile of information technology to play a key role in achieving fundamental performance levels. As a result, the business case has become a key instrument to help justify appropriate investment for information technology and project resources to meet these challenges.

This paper discusses the importance of investing in EHS information management and seven key steps for successfully improving your business case.

We were finalists in the National E-Commerce ICT Innovators awards in the E-Government and Environment categories, which recognise innovation in the use of technology. In the Parcel Force Small Business Awards we are through to the final judging rounds for a Special Category Award for Outstanding Customer Service. The winners of this award will be announced later this year.

The Entropy System and IPPC Permit Management

Integrated Pollution Prevention and Control (IPPC) was introduced by the Pollution Prevention and Control (PPC) Regulations in 2000 for the regulation of pollution from industrial sources and is being phased in over time by industry sector for completion by early 2007. The focus is now moving from the preparation of applications to managing the requirements of the permit. Consequently, risk and compliance managers are now looking for the solutions that enable them to undertake management and reporting requirements of permits in an efficient and integrated way. The Entropy System manages data effectively and efficiently leading to improvements in performance management, corporate reporting and compliance management and thus provides an integrated and dynamic management system to support the management of a PPC permit.

2005 User Conference a Great Success

14th-16th September 2005

THE MIDLAND HOTEL, Manchester, UK

Once again the user conference proved to be a tremendous success with customers and Alliance Members from around the world descending on the Midland Hotel in Manchester, UK, for two days of learning, knowledge sharing, networking and socialising.

The theme this year was - "Innovate and Discover". Innovation is at the heart of Entropy International and the Entropy System. We aim to provide technology, functionality and usability innovations that result in an improved user experience and significant business benefits. Our customers discovered the product innovations we are exploring, identified new innovative ways of using the Entropy System and shared best practice through customer case studies.

The content of the conference included presentations on thought leadership, the product roadmap and customer experiences using the Entropy System. It also included drop-in Advice Centres, the Usability Lab, training updates, masterclasses from some of our customer workflow gurus, network sessions and Alliance Member displays.

We are delighted with the continuing value our customers and Alliance Members place on this event and very much look forward to next year.

Some quotes from our customers and Alliance Members:

“Outstanding event that reinforces the excitement and value that companies have for the Entropy System.” Sammy Lakshmanan – ERM IS

“An interesting and thought-provoking meeting that provided plenty of opportunity to discuss and learn about elements of the Entropy System." Nick Cardon – Marley Eternit

The Entropy System Workflow Approach

Over the last year, we at Entropy International have noticed a marked shift in the way our clients approach the management of EQS issues. In the past, the approach has typically been to address environmental, quality or health & safety issues using a ‘management systems approach’ with the implementation of a full (and often certifiable) management system as the solution to their EQS problems.

Recently, however, and for a number of reasons, the approach in some cases has moved to tackling EQS problems much closer to their source operationally and through the implementation of a partial management system – or workflow – to solve an immediate problem. Once that issue is solved clients typically then add to that workflow solution and slowly build a full and integrated management system over time.

In response to this development, Entropy International now offer clients and prospective clients the ability to use the Entropy System as either a full management system solutions for environmental, quality and health & safety management or as a solution enabling the use of the Entropy System by workflow. The workflows currently offered – which together make up a full management system – are as follows:

- Risk Identification and Assessment

- Action Tracking

- Audit and Compliance Management

- Incidents and Investigation Management

- Performance Management

- Knowledge Management

- Training Management
